Event Policies

The Oregon Sports Summit will no longer require mandatory face masks, nor proof of vaccination or a negative COVID test for entry. Event attendees are still welcome to wear a mask during the conference.
Please note, these policies are subject to change and the event organizers will continue to monitor and follow all federal, state, and county guidance. The health and safety of our attendees, speakers and sponsors has been, and will always be, our top priority.
Hand sanitizer stations will be placed throughout the venue and disposable masks will be available for attendees who may want one. Each event space will be equipped with a Vollara Air Scrubber machine that will provide continuous and proactive surface and air disinfection.
Cancellation Policy
Registration cancellations and refund requests may be submitted by the participant within 72 hours of registering to receive a full refund. Registration requests made after that time will result in the paid registration being rolled over to the following year’s event.
All event registration cancellation requests must be received in writing and sent to Jessica@EugeneCascadesCoast.org. Please call 541.743.8765 with any questions regarding the cancellation policy.
COVID Cancellation and Event Reschedule
The health and safety of our conference attendees is of the utmost importance. If it is deemed unsafe to hold the event in-person due to a community COVID-19 case spike, the organizers will work to reschedule the event for fall 2022. In the event of this occurring, registered attendees will be notified and their registrations will be rolled over to the new event date.Substitution Policy
If you find that you are unable to attend the Summit, you are welcome to send a colleague in your place. There is no fee to make this change, but all requests will need to be received by Monday, April 4, 2022. All registration substitution requests and questions can be sent directly to Jessica@EugeneCascadesCoast.org .
Inclement Weather Policy
If the event is canceled due to inclement weather and dangerous road conditions, the event will be rescheduled, and paid registrations will be applied to the rescheduled event.
Photography Policy
News organizations, participants or guests of the Oregon Sports Summit and Travel Lane County may record video, audio or photograph any part of the conference. Travel Lane County and the Eugene, Cascades and Coast Sports Commission reserve the right to use these images on their website, social channels and in any marketing materials. These images may also be shared with third party partners to promote sports tourism and conventions within our destination. What are the current health and safety protocols?

Is the event held outside/inside?
Due to the variable weather in April, the event will take place indoors. However, there are several outdoor spaces at the hotel where attendees may take breaks.
Will the event be socially distanced?
What if an attendee feels sick during the conference?
During the conference, if you are feeling unwell and showing any of the symptoms of COVID-19 listed here, please remove yourself immediately from the event area and then go get a COVID-19 test. A list of local testing sites can be found here. If the test result is positive, we ask that you please email the event organizer at Jessica@EugeneCascadesCoast.org. This information will be collected confidentially for contact tracing purposes only. In the event of a positive test, staff will alert attendees of a possible exposure and will not disclose any personal details.
What if an attendee tests positive after attending the conference?
We ask that you contact the event organizer at Jessica@eugenecascadescoast.org and provide which sessions you attended. Conference attendees would then receive a contract trace email alert that lets them know that they may have been exposed. The identity of the attendee who tested positive will be kept confidential.
What is the dress code?
Conference attire is business casual for all events. We recommend bringing a sweater or light jacket with you as personal preferences vary regarding room temperature.
Will I receive event updates?
Yes! Eugene, Cascades & Coast Sports Commission will send emails periodically to update registered attendees on the agenda, event happenings and logistics. Please make sure that the email address Jessica@EugeneCascadesCoast.org is on your safe senders list to ensure you are receiving all important event information.
Will you be live streaming?
No, at this time we are not offering live streaming of the event.
Paying by check?
Please contact Jessica Joyce at Jessica@EugeneCascadesCoast.org to request an invoice and to receive special registration instructions.
