We know seasonal demand patterns and have built long lasting relationships with conference hotels and event venues throughout the region. Whether your group is looking for an executive board meeting or a citywide, we can make recommendations and help you decide.
When selecting hotels, we can save you time and energy looking for the best possible room rates as we collect all of the proposals from the hotels and create one document for you. We know our properties and their staff and can work with them to provide the best rates available. We know what dates the properties are often booked, the dates that are likely open, dates that work best for certain group sizes, etc. This information is crucial in deciding when and which hotel properties are available and can best accommodate your group. Plus, if you work directly with us, your event may qualify for a current incentive offer.

Building Unique Attendee Itineraries
Prior to your group arriving here, our team will help you create a unique attendee itinerary filled with regional activities that can include dune buggy rides at the coast, white water rafting in the mountains, urban wine tastings, waterfall hikes or exquisite culinary adventures. We are dedicated to helping your group have a successful time in our region and one way we can do that is to collaborate with vendors who we trust and support. The Eugene, Cascades, and Coast region of Oregon has a rich amount of cultural heritage and museums, art galleries, building murals and concerts are also popular options.. We will work with these local partners to create an unbelievable experience that is unique to this region and that will be long remembered by attendees.
Working with Local Vendors
Connecting you with local vendors is another way we can truly help. Some examples include suggesting local speakers, finding entertainment or bands, collaborating with educational tour groups, connecting with a local printing company or setting up a CSR opportunity. We can also arrange ground transportation. We work with tour operators, charter buses, limo and shuttle services, car rentals, and more.
Attendance Building
After you have confirmed your venue and hotel and have an exciting attendee itinerary all set, we can also help build attendance for your event.
We have a large collection of photos and video footage that showcase all the unique things to see and do in the region and that highlight the abundance of natural beauty that makes this destination a top choice of planners. This is a dream destination for attendees and often they come early and stay late to experience all the region has to offer.
Another way we can help build attendance is by creating a dedicated microsite with hotel rates and booking links for your group’s event. Microsites also showcase things to do, places to see, and places to eat and drink to help attendees preplan all that they want to experience while they’re here.

Having strong on-site support is another important way we can help. We can provide an attendee welcome table stocked with Visitor Guides, downtown maps, bike maps and more and provide ideas and suggestions based on individual preferences for the perfect attendee experience.
One of the popular services that we provide is our Show Your Badge program. The program provides special offers at participating local businesses including restaurants and retail establishments (and there is no sales tax in Oregon). We provide a list and map of participating businesses.
Special Requests
In the world of sustainability, green meetings are on the rise. In the Eugene, Cascades & Coast region, our citizens have a keen appreciation for our common inheritance of natural beauty and precious resources. Our services team can offer a list of sustainable venues, adventures and resources.
